Behind the Scenes at Expo Osaka 2025: An Interview with Lorenzo Pagnamenta
We met with Lorenzo Pagnamenta, Event Manager and Team Leader of the Events Team at the Swiss Pavilion at Expo 2025 in Osaka. In our conversation, he gives us an exciting insight into his day-to-day work, his role at the FDFA, and shares what highlights visitors can look forward to at the Pavilion.
What is your job at the FDFA (Federal Department of Foreign Affairs)? And what are your most important tasks?
I work for Presence Switzerland, a division of the FDFA responsible for promoting Switzerland’s image abroad and implementing Switzerland's Strategy for Communication Abroad. My role is Event Specialist –an intentionally broad title, as my responsibilities can vary significantly depending on the project. Currently, I serve as the Event Manager and Team Leader for the Events Team at the Swiss Pavilion for Expo 2025 in Osaka. In this role, I oversee the entire operations related to events taking place at the Pavilion and lead a team of three Event Coordinators.
How long have you been working at the FDFA, and what did you do before that?
I first worked with Presence Switzerland in 2015 at Expo Milano as part of the Guest Relations Team. From the very first day, I knew this was the environment I wanted to be in. Since then, I’ve been involved in multiple projects, gradually growing into more strategic and leadership roles.
Some of the key projects I've worked on include:
- House of Switzerland at the Rio de Janeiro Summer Olympics in 2016
- Pop House of Switzerland in Stuttgart in 2021
- Swiss Pavilion at Expo Dubai 2020
- House of Switzerland at Milan Design Week (2022, 2023, 2024,and 2025) as Event and Production Coordinator
- Maison Suisse during the Paris 2024 Summer Olympics
- House of Switzerland at the World Economic Forum (WEF) in 2024 and 2025, where I supported daily operations
What is a typical day in your role like?
That’s the beauty of my job – there is no “typical” day. Every event is different, each partner has unique expectations, and no two environments are the same. For example, managing operations at Expo Dubai was a very different experience from working at Expo Osaka. This constant change keeps the job dynamic and engaging, and it continuously pushes me to adapt and grow.
What does the Swiss pavilion in Osaka look like and what is being presented there?
The Swiss Pavilion in Osaka is a unique space that blends innovation, sustainability, and Swiss hospitality. The design draws inspiration from traditional Japanese architecture while incorporating Swiss values and forward-thinking technology. The exhibition is focussing on Switzerland’s commitment to innovation, education, and sustainability. Visitors can expect immersive experiences showcasing Swiss excellence in fields such as science, environment, and culture.
How did the idea of the Swiss Pavilion in Osaka come about? What does it take to put on an event like this, and how long does the preparation time take?
Participation in World Expos is a long-standing tradition for Switzerland and is part of its official strategy to promote the country abroad. Planning begins several years in advance. The process includes concept development, architectural design, construction, programming, partnership building, and detailed logistical planning. For Osaka, preparations started as early as 2021. It takes a coordinated effort across public institutions, private partners, and a dedicated on-site team to bring it all to life.
Are you also on site in Osaka? If so, what is your responsibility?
Yes, I’ve been on-site in Osaka since March 16, 2025. I am the Event Manager and Team Leader for the Events Team at the Swiss Pavilion. I’m responsible for planning and overseeing all event-related operations in the Pavilion and managing a team of three Event Coordinators. Together, we ensure the seamless execution of a wide range of events – both public and private – throughout the Expo's duration.
What digital tools do you use to help you organize your working day?
To stay organized and efficient, we use several digital tools:
- TeamUp for calendar management and room bookings
- Eyevip for guest management and RSVP tracking
- Trello for task and project management across the team
These tools help us streamline communication and keep track of the many moving parts involved in event planning.
What challenges do you solve with Eyevip, and what kind of events are happening during the Swiss Pavilion in Osaka?
Eyevip helps us manage guest lists, invitations, and check-ins efficiently. It significantly reduces administrative workload and ensures a smooth guest experience – from invitation to post-event communication.
As for the events, the Swiss Pavilion will host a diverse program, including:
- Business delegations
- Cultural showcases
- Innovation-focused talks and panels
- National Day celebration
- Networking receptions
These events serve as a platform for Swiss companies, institutions, and artists to connect with international audiences.
How do you recover after an exhausting event?
After an intense event, I make it a priority to disconnect and recharge – ideally with a walk in nature, a good meal, and some time away from screens. Spending time with friends or simply enjoying a quiet moment helps me reset. That said, in this line of work, rest is often a luxury between projects, so I’ve learned to find small moments of recovery even in the busiest of weeks.
